Please review your User Settings carefully—these therapist-level options unlock key features and permissions
User Settings
- E - Signature: allows us to stamp the signature on their notes
- Show in schedule: if you want this therapist to be visible to patients scheduling online (requires the schedule widget feature)
- Unavailable Days for Scheduling in case there are certain days/times that the therapist is always off
- Disable Finalize is great for either students or new therapists so you an review their notes prior to allowing them to finalize
- Allow to Archive Patients: mention that ARCHIVE across the whole system is a "soft delete" so even though it deletes it from their view, for HIPAA we still retain it in our database. If you ever need to restore something, please let us know but just be aware that archiving any data typically means you want it deleted. For archiving notes, show them the note manager so they can retrieve notes themselves
- Therapist Rates: go over options for them to add rates to their visits (either fixed or per treatments) in case they want to use the therapist invoice feature
- Documents: medical forms, credentialing applications, therapist licenses, etc. along with renewal dates
- Email POC Portal: allows doctors to sign POCs electronically -> pricing pending

Office Settings

4. Note Lock feature in case they have therapists who do notes late and they want to restrict them based on number of hours before locking the note. Once locked, an administrator of the office (Master or Office Manager) has to unlock
5. Show referring provider signature -> HelloNote automatically adds a signatures to the Plan of Care (POCs), however if you prefer we can add signature line to the full notes as well. This is not recommended, but we can enable it per request.
6. Header alignment -> most clients use our electronic statements including credit cards
7. Enable SMS and/or Email reminders for patient appointment reminders
8. Patient Appointment Confirmation -> on top of the patient getting an appointment reminder, it will also ask patient to confirm if they are coming vs canceling appointment.
9. Dynamic forms allows clients to create their own intake and consent forms. If they have any existing forms they want us to digitize, please send it to us and we'll do it (Joseph)

13. New Patient Validation -> automates the patient, insurance, and case creation in one screen rather than going to 3. This is useful if user already knows the data right away
14. Auto Fetch 835 Files -> allows us to sync in the ERA/EOB from the clearinghouse without you having to manually download and import them.
15. Auto-audit -> allows us to streamline your billing by sending the claims to the clearinghouse once a note is finalized without you having to review it manually. In case there is an error on the claim (such as missing DOB, NPI, patient address, etc.) it will not go out and be in the "Ready to Send" report for you to review
